Service Writer

Job Description:

The Service Writer is responsible for the efficiency and profitability of quotes for Parts/Service. Provide CSS staff, Service Dept. with accurate Service quotes, PM follow up within 48 hours of receiving the information.
Assist and provide parts/service support and respond to customers, technician's concerns-request.
Promote the sale of genuine Toyota, Crown, and Aftermarket parts and accessories in a profitable manner.

100% TMHU training for Toyota
Quote all CSS, Service road/Shop quotes within 48hrs.
Process all approved service quotes.
Back up Parts Dept. when an employee is off.


Assign quotes for each CSS Representative to attain required Expectation.
He/ She is also responsible for helping to maintain profit margins through sales negotiations and promotional activities.
Review ALL (PM) work orders that are turned in for billing and provide estimates for all items listed requiring additional work.
Order all needed parts on approved estimates through the parts department.
Daily communications with each member of the CSS Team to monitor individual pending quotes.
Record and maintain estimates in the quote system.
Look into rental rates and availability if quoted repair will require considerable downtime.
Prepare status report
Call if needed for permission for additional work.
Handle customer complaints.
Maintains a high level of communication with the service and parts management team.
Report immediately any safety or company policy violations to your supervisor.
Follow written policies and procedures.
Other responsibilities, duties and /or special projects may be assigned, as management deems necessary.
Look up parts required for the quotes
Determine labor from Tech.
Obtain customer's written approval/ confirmation for the quote.
Upon approval, converts quotes to open work order.
Orders all needed parts on approved estimates through parts department.
Provide the work order to the dispatch so work can be scheduled and dispatched, or if requires to come in the shop, coordinate with CSS, customer and transportation.
Report to After Market manager any issues related to slowing the estimate process.
Assist with physical Inventory.

Excellent written, verbal English communication skills.
Must have professional and neat appearance.
Ability to communicate effectively.
Applying mathematical reasoning, critical thinking, and problem- solving techniques to work-related problems.
Ability to identify numbers sets such as serial numbers.
Ability to quickly recognize a need, process those needs, handle multiple sets of responsibilities effectively at the same time.
The skill of being able to see logic and relational solutions. One who can take an original scope of work and identify additional work that needs to be addressed.
Must be determined, have drive to succeed and be self-confident.
Must have a willingness to continuously work toward professional improvements through continuing education in sales, industry knowledge, computer skills, and interpersonal communication.
Computer skills in MS Word and internet with Excel a plus.
Ability to work under pressure, handle changing priorities, to be self-motivated with good business judgment.
Clean DMV and drug test.

Approximately 80% is spent seated at a desk, working on the telephone, and/or at a computer
Approximately 20% is spent standing, walking, squatting, or moving.
Clear dictation, correct grammar and acute hearing are necessary for effective communication with customers, vendors, management and other employees.
